WhatsApp first: how to handle development leads

Published 6 Oct 2026 · ProMLS Realty

Many buyers of a development in Puerto Vallarta write from another country. WhatsApp is the channel most of them already have open. The question is not whether to offer it, but whether anything is lost after the first message.

Know where each message comes from

A message that only says "I am interested" tells you nothing. On this site every WhatsApp link adds a small reference at the end of the message, for example Ref: services/cta-band [en], plus the exact page address. That way you know which page and which section the person was on, and in which language.

Do the same on your own pages: one link per placement, each with its own reference.

A simple process

  1. Answer in the buyer’s language. English or Spanish, matching the message.
  2. Read the reference before replying, so your first answer talks about the unit or page they saw.
  3. Ask one or two useful questions instead of sending a long brochure: which unit type, and when they plan to decide.
  4. Log the conversation in your CRM the same day. What is not logged is lost when the person who answered is not there.
  5. Give every inquiry one owner and a next step with a date.
  6. Send the same material to everyone: one current brochure and one current price list.

What to avoid

  • Answering from a personal phone with no record anywhere else.
  • Sending outdated brochures or prices.
  • Letting a lead sit without a next step.

Where this is going

Our contact forms already create a lead in the CRM, and WhatsApp messages carry their reference. The next step is giving sales teams one place to prepare the brochure and quote and send them, with the stage of each client visible to the agency. That is the app we describe on the agencies page, planned for early 2027.
